  • Assistant to the Executive Director

    The Troy/Maryville/St. Jacob/Marine Chamber of Commerce is hiring an Assistant to the Executive Director. The person taking on this role will be an integral part of the Chamber and the communities as a whole.

    The Assistant will excel in relationship management and organizational skills and will have the opportunity to be part of a creative, productive, and fun team.

    This 35-hr per week position includes vacation days and paid holiday benefits.


    JOB DESCRIPTION

    ASSISTANT TO THE EXECUTIVE DIRECTOR
    Troy/Maryville/St. Jacob/Marine Chamber of Commerce
     

    Reports to:  

    Member Relations Manager

     

    Supervises:

        None

     

    Overview:

    • The Assistant to the Executive Director (AED) runs the day-to-day operations of the Chamber office, maintaining processes and procedures.  This position also coordinates Chamber events, utilizing the events worksheet.  The position will also write the Chamber’s Standard Operating Procedure Manual, gathering information from all staff.  The AED works closely with the Chamber Board of Directors, Ambassadors and Executive Director to fulfill the Chamber’s mission.


    Responsible for:

    • Running day-to-day operations at the Chamber office

    • Contacting Chamber members for a variety of items

    • Coordinating Chamber community events 

    • Working with Chamber Board of Directors and Ambassadors

    • Putting office systems into place 

    • Developing a Standard Operating Procedures Manual

    • Promoting Chamber and telling our story

     

    Responsibilities and duties:

    • Running day-to-day operations at the Chamber, including processing mail, answering phone calls, ordering office supplies, Chambermobile, maintaining membership information, etc. and putting office systems into place

    • Contacting Chamber members for a variety of items

    • Coordinating Chamber community events 

      • Events (networking)

    • Working with the Chamber Board of Directors and Ambassadors, taking minutes at Board Meetings, sending pertinent information to the Board, etc. 

    • Developing a Standard Operating Procedures Manual

    • Promoting Chamber and telling our story

    • Maintaining Chamber database

    • Organizing and filing accounts payable, accounts receivable and other financial papers

    • All other duties as assigned

     

    Qualifications:

    • Associates Degree or other relevant experience

    • Excellent verbal or written communication skills, including on the telephone, e-mail, etc.

    • Willingness to learn new software and database management programs

    • Ability to multi-task, prioritize work and maintain a working list for all items

    • Excellent typing and proofreading skills

    • Must be able to work independently, resourcefully and without constant supervision

    • Willing to do whatever it takes to get the job done – all other duties as assigned

    • Strong customer service skills with the ability to get buy-in from members and build relationships

    • Creative strategy development and initiative catalyst

     

    Software/apps:

    • Proficient with Microsoft Office

    • Knowledge of QuickBooks

    • Willingness to learn ChamberMaster and Constant Contact

     

    Skills:

    • Task driven by worksheets and able to balance several tasks at once

    • Exceptional customer service and willing to go the extra mile to assist members and the community

    • Always thinking Chamber – looking for new ideas, seeking out new members, watching for new businesses, watching social media pages

    Other:

    • The Troy/Maryville/St. Jacob/Marine Chamber of Commerce sits on the property owned by the Triad School District and the property is marked as non-smoking.

    • Chamber office hours are Monday through Thursday 8:30 a.m. – 4:30 p.m. and Friday 8:30 a.m. – 12:30 p.m. but subject to change.  Non-paid lunch is one hour.  A total of 32-35 hours per week.

    • This position is very task driven and there are always multiple events being planned.  The best applicant for this position will put 100% effort into the position.  

     

    Compensation:

    • Compensation is $14-$17/hour, based on experience.  Employee evaluated in 90 days with potential increase in compensation based on 90-day goal achievement.  

    • Position includes accrual of vacation days (2 weeks after first year) and personal days (2 days after first six months) and also paid holidays (12 days)
